All Hands Approach Drives Forms Processing Effort
About Client: Our client is a full-spectrum e-Discovery and litigation support services company with production hubs in major metropolitan areas across the US. As their core services have moved toward automated processes, they have partnered with us to handle difficult data types that require manual intervention and custom processing.
Challenge: Our partner reached out with an urgent request to perform Data Entry of product forms for their client, a retailer specializing in Fishing and Hunting products. The challenge was to process 27,000 handwritten license and registration forms using their internal application as well as an MS Access Database. Limitations on concurrent activity in both applications threatened to severely impede the speed of the data entry effort and our ability to distribute the work efficiently to our resources to meet their deadline.
Solution: Over the years, we had processed many large data entry and back file indexing projects, but this project presented a unique challenge due to the restrictions inherent in the tools to be used. Having a vast pool of data capture professionals is only as useful as the ability to harness their potential through a distributed and collaborative workflow. To make it happen, Kensium’s BPO team leveraged our own Development and Solutions division to tackle the issue. The existing database would be split into many parts to allow multiple data entry resources to access simultaneously. While the data capture effort was underway and results underwent a 100% QC, development team wrote a custom script to merge the split databases. By running all of these processes in parallel, we were able to deliver per specification within the deadline.
Results: This innovative approach made possible by the availability of reliable resources across disciplines is a key differentiator of Kensium BPO. What would have been an impossible deadline to meet due to state of the source files was handled through a collaborative effort across many departments. The final delivery exceeded 99.5% accuracy and was seamlessly integrated back into the client’s review platform.
